Frequently Asked Questions


Accounts and signing in

How do I create an account?

Visit the LoreLedger home page and click Sign In. Choose a sign-in provider (Google, GitHub, or Discord) and authorise LoreLedger. Your account is created automatically the first time you sign in.

Can I sign in with a username and password?

No. LoreLedger uses third-party sign-in providers only (Google, GitHub, and Discord). This avoids the need for password management and improves security.

Can I link multiple sign-in providers?

Yes. Go to Settings and you will see the option to link additional providers. This means you can sign in with whichever provider is most convenient.

How do I change my display name?

Go to Settings and update your display name. This is the name shown to other members.


Organisations

What is an organisation?

An organisation is a group of people — your gaming group, club, or community. It is the top level of LoreLedger's hierarchy, containing worlds, campaigns, tables, and members.

Can I belong to multiple organisations?

Yes. You can be a member of as many organisations as you like. However, the number of organisations you can own is limited by your plan.

How do I invite people to my organisation?

Go to your organisation's Members page. You can either add someone by email (they must already have an account) or create an invite link that you can share. Invite links can have optional usage limits and expiry dates.

What happens if I delete my organisation?

Everything inside it is permanently deleted — all worlds, campaigns, tables, lore entries, sessions, quests, inventory, memberships, and uploaded files. This cannot be undone.

Can I transfer ownership of my organisation?

Yes. As an Owner, you can promote another member to Owner. Once there is more than one Owner, you can demote yourself or leave the organisation.


Roles and permissions

What are the organisation roles?

  • Owner — full control over everything in the organisation
  • Admin — can manage content and members, but cannot promote others to Owner or delete the organisation
  • Member — read access to organisation content

What are the table roles?

  • GM — manages the table, creates sessions, quests, and controls visibility
  • Player — views content and manages their own inventory

Do Owners and Admins need to be added to each table?

No. Organisation Owners and Admins have implicit access to all tables. They do not need explicit table memberships.

Can a Player create lore entries?

No. Lore entries can only be created by organisation Owners and Admins. Players have read access only.


Lore entries

What types of entry can I create?

Character, Location, Faction, Item, Event, and Note. Choose the type that best describes the content.

Can I use formatting in entries?

Yes. Entry bodies support Markdown formatting, including bold, italic, headings, lists, links, and block quotes.

Is there a revision history?

Yes. Every time an entry is edited, a new revision is saved. You can view the full history from the entry's detail page by clicking History.

Can entries be shared across tables?

Yes. Entries belong to a World and are visible across all campaigns and tables within that world (subject to visibility settings). If you want an entry to be specific to one table, set its visibility to Table Members and choose the table.


Sessions

Who can create sessions?

Only GMs (and organisation staff) can create, edit, or delete sessions.

Can players see GM notes?

No. GM notes are private and enforced at the server level. The data is never sent to players — it is not merely hidden in the interface.

What are the session statuses?

  • Planned — scheduled but not yet played
  • Completed — the session has been played
  • Cancelled — the session was called off

Quests and clues

Why can I not see any quests?

Quests default to GM Only visibility. Your GM needs to change a quest's visibility to All Members or Table Members before you can see it.

What is the difference between revealed and unrevealed clues?

Revealed clues are visible to players (if the quest itself is visible). Unrevealed clues are hidden from players. GMs reveal clues as the party discovers information during play.

Can players create quests?

No. Only GMs and organisation staff can create, edit, or delete quests and clues.


Inventory

Who can add inventory items?

Any table member can add items. Players who add items are automatically assigned as the owner.

Can I edit another player's items?

No. You can only edit or delete items you own. The GM can edit or delete any item.

What is the shared stash?

The shared stash contains items with no owner — communal party loot, supplies, or resources. GMs can add items to the shared stash by leaving the owner blank. GMs can also transfer items to or from the shared stash.


Visibility

What are the visibility levels?

Are hidden entries truly hidden?

Yes. Visibility is enforced on the server. Hidden content is never sent to users who should not see it — it does not appear in lists, search results, or relationship links.

Can I change the visibility of existing content?

Yes. Edit the entry, session, or quest and change the visibility dropdown. The change takes effect immediately.


Uploads

What file types can I upload?

JPEG, PNG, GIF, WebP, and PDF files. The maximum file size is 10 MB per file.

Where can I upload files?

Uploads are supported on worlds (maps), lore entries (portraits and attachments), sessions (handouts), and quests (attachments).

What is the storage limit?

Storage depends on the organisation Owner's plan: Free has no storage, Adventurer gets 50 MB, GM gets 200 MB, World Builder gets 1 GB, and Club gets 5 GB. Upgrade to a paid plan to unlock file uploads.


Billing

Do I need to pay to use LoreLedger?

No. The Free plan gives you one character and the ability to join tables — enough to get started at no cost. File storage requires a paid plan.

Whose plan determines the organisation's limits?

The organisation Owner's plan. If you are a Member or Admin, your plan does not affect the organisation you are in.

What happens if I cancel my subscription?

Your subscription stays active until the end of the current billing period, then reverts to the Free plan. Your content is not deleted, but you cannot create new content that exceeds Free plan limits.

How do I manage my subscription?

Go to Settings > Billing > Manage Subscription to open the billing portal. From there you can change plans, update payment details, view invoices, or cancel.

Are prices in GBP?

Yes. All prices are in British pounds (GBP).


Troubleshooting

I cannot see content that I think should be visible.

The most likely cause is a visibility setting. Ask your GM or an organisation admin to check the visibility level on the content. See Visibility and Spoilers for details.

I cannot create new content and I am getting a limit message.

Your organisation has reached a plan limit. The organisation Owner needs to upgrade their plan, or you need to remove existing content to make space. See Billing and Plans for details.

My invite link is not working.

Invite links can expire or reach their usage limit. Ask the person who created the invite to check whether it is still active, or to create a new one.

I cannot leave my organisation.

If you are the last Owner, you cannot leave. Promote another member to Owner first, then try again.
